About the migration
What is Ideagen Hub? Ideagen Hub is a single, intelligent platform that brings together all your Ideagen solutions, Luminate support and Mazlan AI in one place. It gives you one login, a unified experience and access to AI-powered insights – so you spend less time navigating and more time doing.
Why is this migration happening? Ideagen Hub is how we're delivering a better, more connected experience for all Ideagen customers. Bringing Ideagen EHS into Hub means you'll benefit from single sign-on across your Ideagen products, integrated Luminate support and access to Mazlan AI – all from one place.
How is Hub different from Ideagen Home? Hub is the next generation of how you access and experience your Ideagen products. Built on Ideagen's most modern, secure infrastructure, it goes beyond a single login to bring your products, Luminate support and Mazlan AI together in one intelligent experience — with faster performance, greater reliability and new capabilities added continuously.
When will my migration happen? Migrations are planned to begin in April 2026. Your specific migration date will be confirmed in advance and communicated to your administrators. If you have not yet received a migration date, your wave has not yet been scheduled.
Will I receive advance notice? Yes. Administrators will receive email communications ahead of the migration, followed by in-app notifications for all users. You will have time to prepare before any changes take effect.
Is the migration mandatory? Yes. All Ideagen EHS customers will transition to Hub. The migration is being managed in waves to ensure a smooth experience for each customer.
Will there be any downtime? We are working to minimise any disruption and will schedule migrations to avoid peak usage times. Any scheduled downtime will be communicated to administrators in advance.
Before your migration
Do we need to do anything before migration? Your administrators should ensure all user accounts have a valid email address in the system. Users without an email address will not be able to migrate to Hub. Where users – such as frontline employees without a company email address use the solution, administrators will need to ensure their username is unique.Users can use the same email address to login but will need a unique username.
What about users who don't have email addresses (e.g. contractors)? Hub requires a valid email address for each user account. However, Hub does support multiple users sharing the same email address — usernames must be unique, but email addresses can be duplicated across accounts.
What makes a username invalid for Hub? Hub has specific requirements for usernames. Usernames containing spaces or certain special characters will need to be updated before migration. Your administrators will be notified if any usernames in your instance need attention.
Do we need to whitelist any URLs? Some organisations require specific URLs to be allowlisted before employees can access them. If your organisation operates URL allowlisting, you will need to add the Ideagen Hub URL to your allowlist before your migration date. Your administrators should check with your IT or security team to confirm whether this applies to you. Ideagen will provide the relevant Hub URL in advance.
What if we use SSO? If your organisation uses single sign-on (SSO), your IT team will need to update your SSO configuration to redirect authentication to the new Hub URL. Ideagen will provide the new URL and setup instructions in advance. We strongly recommend engaging your IT team early, as SSO configuration can take time depending on your organisation's security requirements.
The login experience
What will change about how I log in? After migration, you will log in through Ideagen Hub rather than directly into Ideagen EHS or through Ideagen Home. The Hub login screen will replace the Home login screen. Once authenticated, you will be taken directly into Ideagen EHS as usual.
Will my existing bookmarks and login links still work? Direct links to Ideagen EHS will redirect through Hub after migration. We recommend updating bookmarks to the Hub URL once migration is complete. Any saved bookmarks will still work as the Priya instance URL is not changing.
What will change on mobile? If you use Ideagen EHS on a mobile device, the login screen will change to the Ideagen Hub login screen. Once authenticated, you will be taken directly into the mobile app as normal. There is no Hub mobile application – Hub handles authentication in the background only. Your mobile experience within Ideagen EHS remains unchanged.
What about kiosk users? Kiosk setups – where a device is shared and users log in at the start of a shift – will also be migrated to Hub. It will not affect functionality but users may have to log into the kiosk again with their updated password after migration.
What about public access QR codes? If your organisation uses public access QR codes that allow users to submit observations or reports without logging in, then please contact your customer success manager to confirm. These businesses will not migrate in the first phase.
What about links in notifications or system emails? If a user clicks a deep link from a notification or system email and is not already logged in, they should be prompted to authenticate via Hub and then redirected to the relevant page
What about links to Insight reports (IBM Cognos)? If users navigate directly to an Insight report via a saved link, they will be directed to sign in through Hub.
What will my login screen look like after migration? The Ideagen Home login screen will be replaced by the Ideagen Hub login screen. The Hub login screen is where you will authenticate before being taken into Ideagen EHS. Screenshots of the before and after experience will be available on Luminate ahead of your migration date.
Will my bookmarked URLs still work? We recommend updating bookmarks to the Hub URL once your migration is complete. Any existing saved bookmarks or Ideagen EHS will still work (as the Ideagen EHS itself is not changing).
Will my browser remember my login, or will I need to log in again? [Suggestion] After migration, your browser may prompt you to log in again for the first time through Hub. Once authenticated, standard browser session behaviour applies.
What browsers are supported? Hub supports all modern browsers including Chrome, Safari and Edge. For the best experience, ensure your browser is kept up to date.
Languages
Does Hub support multiple languages? At the moment Ideagen Hub only supports English within the command center element. Therefore logins and notifications will appear in English. However, it's important to emphasise that this does not impact any of the language functionality in your solution. Ideagen EHS (Priya edition) supports 40+ languages and dialects and this remains unchanged. We are currently working on laying the foundations for multi-lingual Hub in future and will keep you updated as this progresses.
SSO
What does my IT team need to do for SSO? Your IT team will need to update your SSO provider (for example, Okta or Azure AD) to redirect authentication to the new Hub URL. Ideagen will provide the new URL and instructions ahead of your migration. This is an IT-side configuration task and does not require any action from end users.
How much time should we allow for SSO configuration? SSO configuration timelines vary depending on your organisation's security processes and the complexity of your setup. We recommend engaging your IT team as early as possible once you receive your migration date and Hub URL. Some configurations may require significant lead time.
Will end users notice any difference if we use SSO? The login screen will change to the Ideagen Hub login screen. Beyond that, SSO users will authenticate as they do today and be taken directly into Ideagen EHS. No action is required from end users.
Your data and integrations
Will my data move to Hub? No. Only user accounts and authentication are migrated to Hub. All of your Ideagen EHS data, workflows, configurations and settings remain exactly where they are. Nothing else in the product changes.
Will our HRMS feed integration be affected? No. HRMS feed integrations are not impacted by the Hub migration. The product team has developed a solution to ensure these continue to operate without disruption.
Will WalkMe or other in-product tools be affected? No. Tools like WalkMe operate within Ideagen EHS after login and are not affected by the change to Hub authentication.
Will other third-party integrations be affected? No. Third-party integrations that operate within Ideagen EHS are unaffected. The migration only changes the authentication layer – once you are logged in, everything else works as before.
Features and benefits
What are the benefits of moving to Hub? Hub gives you a single login for all your Ideagen products, integrated access to Luminate support, and access to Mazlan AI – including the Ideagen Regulatory Intelligence agent, which allows you to ask regulatory questions across 90+ jurisdictions directly within Hub. Hub is also built on Ideagen's most modern infrastructure, delivering improved performance and reliability.
When will I get access to Mazlan AI? All customers migrating to Hub will have access to the Mazlan AI agent within Hub, including the Ideagen Regulatory Intelligence agent. Mazlan AI within Ideagen EHS itself is on the product roadmap – timing will be communicated as it becomes available.
Will I get access to Ideagen Regulatory Intelligence? Yes. Once you are on Hub, you will have access to the Ideagen Regulatory Intelligence agent within Hub as a free trial. This allows you to query compliance requirements across 90+ jurisdictions using Mazlan AI.
Multiple products and databases
I have multiple Ideagen products — do I only log in once? Yes. Hub gives you single sign-on access to all your Ideagen products. One login gives you access to everything you have in your Hub dashboard.
User preferences and settings
What happens to my user preferences and settings? [Suggestion] Your data, configurations and preferences within Ideagen EHS are unaffected. The migration only changes how you authenticate — nothing within the product changes.
Ideagen Luminate access
How do I access Luminate after migration? Luminate is integrated directly into Hub. Once you are logged in, you can access support, help articles and community resources with a single click — no separate login needed.
Do I need a separate password for Luminate? No. Your Hub login gives you access to Luminate. One login, all resources.
Getting help
Where do I go if I need help after migration? Luminate is your first port of call for support. You can access Luminate directly from Hub with a single click. Luminate's AI-powered support will also be able to help you with common migration-related questions.
