How to Release a Document
Who is this article for?Ideagen EHS Users releasing a document.
Accesss to Document Approval is required.
Once a document has been approved it is ready to go live. This involves releasing the document.
A released document is considered finalized and ready for users to view and download.
This article outlines the steps to release a document and is split into the following sections:
1. How to Release a Document
- Click Documents and then Document Management.
- Click Manage Documents.
- Navigate to the All Tasks section.
- Select the Document from the list.
- Complete the Release Document details.
- Release Notes: Enter pertinent notes if applicable
- Training and Communication Notes: Enter training or communication notes if applicable
- Additional Release Notifications: A notification(s) can be sent to users once the document is released and available to view.
- Is Acknowledgement Required: A option to require users to acknowledge the document is available.
- Release Schedule: The document can be released immediately or at a future date.
2. How to Configure Auto Release
A Document Owner can select the option for the Document to be Auto Released when completing the Document details. This means when a document is approved and it is automatically released and available for users to view and download.
