How to Manage Work Areas

Access to Behavior Based Safety is required.
The Behavior-Based Safety module allows users to manage and track safe behaviors in a workplace. Analyzing safe behaviors and observations can be done for each teamwork area. Users can access corporate or facility level dashboards, create and manage work areas, and report observations. In addition, users have the ability to view observation summary data and behavior lists.
This article outlines how to get started with the Work Areas section in the Behavior Based Safety Module.
To make Work Areas easier to learn, this article is split into three sections so that you can either walk through the steps in sequence or you can jump to the section relevant to what you are doing in Ideagen EHS:

1. How to Access the Work Areas Section
Work areas are created to categorise the different areas of the business so that you can better managed behavior based safety in your company.
To access the Work Areas section you will need to:
- Click on Modules.
- Select BBS.
- Navigate to Manage Work Areas.
- From here, you will be able to see all current work areas on your system as per the image below.
- From this page, you will be able to view the Work Area Details on a specific area, by selecting the Work Area name.
2. How to Create a New Work Area
To create a new work area, you will need to:
- Click on Modules.
- Select BBS.
- Navigate to Manage Work Areas.
- From the Mangage Work Area screen, you will see a +New tab on the right corner of the page.
- Once in the creation screen you will need to enter:

- Work Area Name
- Details of the Work Area in the Description field.
- Set a Work Area Start Date
- The status will by default be in Active state.
- Once you are happy with the changes, click on Save at the bottom of the page for the work area to be created.
3. How to Delete a Work Area Record
- Click on Modules.
- Select BBS.
- Navigate to Manage Work Areas.
- To delete a specific work area, click on the checkbox located on the left side of the Facility name column.
- Click on the red Delete button to delete a work area.
- You will be given the option to confirm deletion and you will need to click OK.
- After confirming a box will appear with a Success message to confirm deletion of the work area.
4. How to Export Work Areas
From the system, you are also able to export a list of work areas into excel. To do this:
- Click on Modules.
- Select BBS.
- Navigate to Manage Work Areas.
- From the Work Area list, you will note an excel icon located next to the Edit option.
- Clicking this icon, will download a copy of the work area list in XLS format.
5. How to Filter Existing Work Areas
If required, you are able to filter work areas based on their Start Date or Active/Inactive Status. To do this:
- In the Manage Work Areas screen, click on the Filter icon. In the Start Date and Work Area Status columns, we see that Filter icon appears.
- Click on the Filter icon in Start Date column and you will see a drop-down with various parameters to filter the start date.
- Similarly, click on the Filter icon beside Work Area Status and you will see various conjugations to filter the Work Area Status.
- Should you need to you can create custom views, which will be discussed in the next section.
6. How to Create Views for Work Areas
As well as filtering, you are also able to create views and select multiple sets of Filters using the following method.
- Within the Work Area List, select the Default View dropdown
- Click Add New View
- From here, you will need to enter the View Name
- Select Filters and Columns that you wish to have in the View
- Once you are happy with your selections, click Save and the custom Work Area view will be created.
7. How to Upload Supporting Documents or Videos
Within the work areas, you are also able to add attachments - such as supporting documents or videos.
To do this you will need to:
- Navigate to the Modules > BBS and select Manage Work Areas.
- Click on the Work Area Name that you would like to add an attachment to.
- In the Work Area Details and select the Add/View Attachments.
- Click the Add button at the top right of the page.
- Select the Choose File option and select the document or video.
- Click on Click to Attach the File tab, to attach the document or video.
- Enter the title and description of the document.
- Select Save and the document or video will now be added to the relevant Work Area.
