Accessing Document Folders
Who is this article for?Ideagen EHS Users Administrator accessing document folders.
Access Administrative Permissions to the Document Management module.
Document Folders allow administrators to add, edit, and delete folders. Administrators can select if the folder will be Public or Private and Assign locations to the folder. This article will include:
- Accessing Documents
- Edit/Modify Existing Document Folder
- Using Filters in Document Folder List
- Deleting Existing Document Folder.
- Exporting Folders List to Excel.
1. Accessing Documents
- Click on the Setup Icon
- Click on the Module Setup Menu Item.
- Click on the Document Management Menu Item.
- Select the Document Folders menu item in Setup.
- To Edit/Modify an existing Folder. Select the Folder from the Document Folders List.
Important Note: As a user with the Add Folder permission, has the ability to move a folder and all associated documents to a different folder.
- Ability to move a folder and all associated documents to a different folder hierarchy
- All the associate information and physical files will move as per the new hierarchy
- All document history, approvals, and audit trails will remain with the document
- The option is available both in the Corporate and Location folder setup
2. Edit/Modify Existing Document Folder
- Click on the Setup Icon
- Click on the Module Setup Menu Item.
- Click on the Document Management Menu Item.
- Select the Document Folders menu item in Setup.
- To Edit/Modify an existing Folder; select the Folder from the Document Folders List.
- Make any edits/modifications, click the "Save" button
3. Using Filters in Document Folder List
- Click on the Setup Icon
- Click on the Module Setup Menu Item.
- Click on the Document Management Menu Item.
- Select the Document Folders menu item in Setup.
- Navigate to and Click the "Edit" button, to view the filters.
4. Deleting Existing Document Folder.
- Click on the Setup Icon
- Click on the Module Setup Menu Item.
- Click on the Document Management Menu Item.
- Select the Document Folders menu item in Setup.
- Select the Folder from the Document Folder List.
- Click on the Delete button.
- After clicking on Delete Button, a Pop-up window will show a message You are about to delete Document Folder(s). Continue?. Click on the OK Button.
5. Exporting Folders List to Excel.
- Click on the Setup Icon
- Click on the Module Setup Menu Item.
- Click on the Document Management Menu Item.
- Select the Document Folders menu item in Setup.
- Click on the Export to Excel Icon
- Open the downloaded Excel to view the Folders list
