1. Features
1.1. Lock transactional forms data
In the current system, records in the transactional forms cannot be locked, so there is no guarantee that the data in the forms are accurate, unlike the data inserted into various programs, which have a locking feature. This gap means that although KPI data is locked, the transactional form data feeding into KPI is not locked and can be modified after data verification. This issue has been noted by the certification body for the customer's Sustainability Report process, representing a weak aspect that needs to be fixed.
To address this, the system has been enhanced to eliminate this gap in data accuracy and avoid any compliance and certification issues. A new UI has been introduced in the module setup to define locking rules for required forms. There are three locking methods available:
Lock immediately: Configure to lock the entire form, including all existing data.
Lock for selected calendar periods: Lock all previous period data and restrict the ability to add new records for those locked periods. The current period cannot be configured.
Lock after a selected time period from reporting: Allows the admin to lock current month reported data after a defined period but does not restrict new record entry.
Multiple locking rules can be configured for a form. Based on the locking rule, the respective form/record will appear as locked. The "Assign Waste Stream" and "Providers" forms do not have any transactional data, so they are not available for configuration. The "Accounts" and "Invoices" forms are very specific to a customer and have integrations implemented, so they are not available for locking configuration at this time.
Users will be able to view the record based on the respective form’s permission but will not be able to add new records for locked periods or modify/delete locked records, depending on the configured lock rule. Users with "Edit Locked Record" permission will be able to make corrections to locked records or add new records for locked periods. The lock symbol in the respective list screen will continue to display, indicating to users that they are modifying a locked record.
