This article explains how to assign and manage lessons learned applicability reviews. This process ensures that corporate and regional teams document lessons from incident investigations, assign them to the correct groups and locations, and track follow‑up actions. This structured approach improves accountability, helps prevent repeat incidents and supports organisation‑wide learning.
1. Workflow for managing lessons learned applicability reviews
- An email notification is sent when a lessons learned applicability review is assigned to a location and group.
- Select the link in the email to open the Manage Applicability Review screen. This requires the View Applicability Review permission.
- The Manage Applicability Review screen displays all lessons learned assigned to the user’s location and group.
- Users with the Edit Applicability Review permission can update the following fields:
- Condition exists or has potential to exist
- Controls in place
- Comments
- If Condition exists or has potential to exist is set to No:
- Fields for controls in place and comments remain available.
- The follow‑up action items and create additional action items columns display “NA”.
- If Condition exists or has potential to exist is set to Yes:
- Fields for controls in place, comments and additional action items become available.
- All follow‑up action items created by the assignor before the review was assigned will be reassigned to the user who responded “Yes”.
- Additional action items can be created, updated or deleted based on the user’s calendar permissions.
