The system now automatically creates default action items when you save a finding, ensuring important actions are not missed.
1. Understanding the previous system behaviour
Previously, when a question had a default action item configured, the system only pre-populated the default action item details when you manually clicked the Create Action Item button in the Finding Detail screen.
Following the replacement of the inline action item section with the action item grid in the Finding Detail screen, users were saving findings without clicking the create action item button, resulting in important default action items being missed.
This was reported as an issue by customers who had default finding and action item configurations set up for most of their questions.
2. Understanding the enhanced system behaviour
- When a question has a default action item set, the system auto-creates it upon saving the finding, without needing to click Create Action Item.
- The action item is filled with the preset title and description. The owner defaults to the module default or logged-in user, the due date matches the finding closure date, and the type is corrective action.
- If mandatory fields are missing, the action item is still created with available data, but you must complete the missing fields manually.
- If no default action item is configured, none is created automatically.
- The auto-created action item appears in the Action Item Grid on the Finding Detail screen alongside manual items.
- Editing and saving a finding again does not create additional default action items.
- Deleting the auto-created action item and saving the finding will not recreate it.
- An activity log records each auto-creation with timestamp and user info. (Pending)
- This applies to web and mobile pro, including offline mode, with offline-created items syncing when connected.
