26.2 Calendar Management release notes

Users who want to learn about the new updates for the Calendar Management module.
No elevated permissions are required.
The due date extension process has been enhanced to introduce a clear separation between users who request extensions and users who approve them, preventing CAPA owners from self-approving their own extension requests.
1. Understanding the previous system
In the previous system, the Extend Due Date permission did not separate the requester from the approver. This meant that the same user could both raise and approve a due date extension request without oversight.
Any user with the Extend Due Date permission could check the Extension Required checkbox and change the Due Date without separate approval. Only the Assigned By user was notified when a due date extension was made.
2. Understanding the enhanced system
The enhanced system introduces several key changes to ensure proper approval processes are followed:
- The existing Extend Due Date permission is renamed to Extended Due Date Approval across all modules that carry CAPA permissions
- The Owned scope option is removed from this permission, which now supports Self and Others only
- The Extend Due Date field and all related fields are displayed to all users in disabled (read-only) mode by default
- Raising a due date extension request is now tied to the Change Action Item Status permission
- Approving a due date extension is controlled by the Extended Due Date Approval permission
3. Requesting a due date extension
To request a due date extension, you must have the Change Action Item Status permission. With this permission, you can check the Extension Required checkbox and submit a request for approval.
When you submit a due date extension request, the Owner, Assigned By user, and Created By user are notified.
4. Viewing due date extension requests
If a due date extension request exists on an action item, it is visible to any user with the View Action Item permission. When the request is rejected, the Due Date Extension Request Approved and Reason For Not Extending Due Date fields are also displayed.
If a closed action item is reopened, the Due Date Extension field is immediately visible so you can submit a request during the reopen flow.
5. Understanding Mobile Pro behaviour
In Mobile Pro, specific visibility rules apply to the Extended Due Date section:
- If you do not have Change CAPA Status permission but hold Extended Due Date Approval permission, the Extended Due Date section remains visible to you
6. Understanding notification changes
The notification process has been updated to ensure all relevant parties are informed:
- When a due date extension request is raised, the Owner, Assigned By user, and Created By user are notified
- When a request is approved or rejected, the Primary Owner is notified
