24.1 Incident Management Release Notes

This article outlines feature changes and enhancements introduced with this update.
1. Features
1.1. Authentication Changes
Before, we submitted data to the OSHA site using Username and Password authentication. We upgraded the system to follow the updated OSHA login procedure.
This enhancement:
- Introduces support for new API token based authentication.
- Deprecates the older approach of Username and Password authentication.
1.2. RIDDOR Classification Changes
Prior to 24.1, we supported only "Dangerous Occurrence" for Near Miss and not the more granular "Dangerous Gas Fitting" classification. We also didn't support capturing HSE Reference IDs, uploading reports, and made completing the classification for multiple Employees an unintuitive process. We made several changes to be compliant with UK regulatory laws.
This enhancement:
- Repositions the RIDDOR section from the Reporting screen to Incident Summary.
- Adds RIDDOR forms created for each Employee involved in the incident to the Summary screen.
This allows users to find all information in one place instead of navigating around the List. - Allows access to RIDDOR forms from the Summary screen, along with the HSE Validation section.
- Incorporates HSE Reference ID to HSE Validation section.
- Adds ability to upload a RIDDOR report.
- Adds "Dangerous Gas Fitting" to classification for Near Miss Incidents.
- Deprecates the RIDDOR section from mobile, as classification is now done after reporting the Incident.
1.3. Field Level Security Self-Permissions
Previously, Incident creators always had permission to view sensitive field information. We wanted to increase security of data by applying field level security even for the user who creates the record.
This enhancement:
- Introduces "Self" permissions under Field Level Security Section.
These include:- Employee Sex
- Hire Date
- Supervisor Name
- Supervisors Email
- State of License
- Date of Expiration
- Removes the above fields from the Employee picklist.
- Users with "Others" permissions for these fields will be automatically assigned self-permissions.
1.4. QR Codes for Incident Reporting
Currently, we have a QR code to report Near Misses, but it is not available for download from the application. We wanted to improve the ease of reporting Incidents from mobile devices.
This enhancement:
- Introduces option to generate a QR code for reporting a new Incident from the Incident List screen.
- Takes users who scan the QR code directly to the New Incident screen.
- Supports scanning using the Ideagen EHS app and mobile camera.
1.5. Incident Description
Before this update, the "Description" field was only available on the Details screen. We wanted to make this information more readily available to users.
This enhancement:
- Displays the first 50 characters of the Description to the Incident List.
Clicking the hyperlinked Description allows users to view the full 2000 characters. - Adds option to "Export to Excel", which downloads it to the sheet as a column.
- Requires the column to be selected from the Incident List columns, as it's not displayed by default.
1.6. Validation Implementation in Case Management
Existing Case Status validation takes place only when creating a New Case progression, allowing users to change Case Status to "Closed" even without progression dates being entered. With this change, we wanted to eliminate inconsistencies in data calculations.
This enhancement:
- Restricts users from changing the Case Status without adding "Last Day" date.
