24.1 Risk Assessment Release Notes

This article outlines feature changes and enhancements introduced with this update.
1. Features
1.1. Confidential Risk Assessment
Before 24.1, there was no option to mark Risk Assessments as confidential, so any Assessment that needed to remain private was deleted from the system on completion. With this update, we wanted to give you the option to designate Assessments as "Confidential", restricting access to authorized users only.
This enhancement:
- Allows a Risk Assessment to be categorized as confidential at any stage in the workflow.
- Adds "Record Level Security" to the Permissions screen.
- Sends an immediate notification to authorised users when an Assessment is made confidential.
- Adds "Confidentiality Details" to the Assessment Details screen that can only be viewed by users with appropriate permissions.
- Changes how Assessments on the Manage Risk Assessments List screen are displayed.
- Authorized users: "Risk Assessment ID" link remains enabled with complete data shown for all authorized users.

Unauthorized users: "Risk Assessment ID" link is disabled and the "Title" is displayed as 'Confidential'. "Status" and "Assessment Date" columns still show their details.
These users cannot delete the record even if they have the "Delete" permission. - Action Items linked to a confidential Assessment will display the "Source Title" as 'Confidential'.
- Changes how data on the Manage Action Items List screen is displayed.
- Data in the "Source Title" column is displayed as 'Confidential' for all Action Items linked to a confidential Assessment.
- "View Source Details" link in the "Reference" column is disabled for Action Items linked to a confidential Assessment.
- Adds a "**Confidential**" label to all system reports for confidential Risk Assessments.
- Hides confidential Risk Assessments in Report Central.
- Masks Risk Assessment data populating in picklists in other modules.
- Allows confidential Risk Assessments to be viewed on the Ideagen EHS mobile app.
- Allows confidential Risk Assessments to be viewed in Insight.
You can use the new "Confidential Risk Assessment" field in the data model to filter them out. - Does not allow confidential Risk Assessments to be added to the Corporate Library.
1.2. Corporate Library Functionality
Prior to 24.1, only Risk Assessments with Location scope were visible in the Corporate Library. We were keen to restore the functionality of showing all Assessments from all Locations.
This enhancement:
- Removes user scope limit from the Corporate Library.
- Allows users with the "View" permissions to view all Assessments regardless of associated Locations.
- Allows users with the "Copy" permissions to copy Assessments from the Corporate Library to their logged in Location.
